The letter, part by part
Wendy Spencer (Field Sales Representative, Hospitality Supplies) is applying to be a Sales Representative, Benelux Hotel Accounts at Grachtveld Linen & Supply B.V.. Here is what each paragraph does.
- The hook
- The proof
- The fit
- The close
Dear Mr de Wilde,
Three of the boutique hotels I visit each week along the Herengracht already stock Grachtveld towels, and their housekeeping managers mention your delivery reliability before I can even open my catalogue. That reputation is why your opening for a Sales Representative covering Benelux hotel accounts caught my attention: I want to sell a product that customers already trust, and to help Grachtveld win the properties that have not yet made the switch.
In my current role at Noordkade Supplies I manage a territory of 140 hospitality accounts across North Holland. Over the past two years I have grown territory revenue by 18 per cent, from €1.9 million to €2.24 million, largely by converting one-off orders into annual supply contracts. I also opened 27 new accounts last year, including a 210-room conference hotel in Haarlem, and kept customer churn below 6 per cent.
Your advert stresses consultative selling and accurate forecasting, and both are habits I rely on daily. I run every opportunity through Salesforce, update my pipeline before each Friday review, and forecast within 5 per cent of actual results most quarters. Because I speak Dutch, English and conversational French, I can work comfortably with owners in Antwerp and Brussels as well as Amsterdam, and I enjoy the long relationship-building that hotel procurement requires.
I would welcome the chance to discuss how I could grow Grachtveld’s share of the Benelux hotel market, and I am happy to share my territory plan from last year as an example of how I work. I am available for a conversation at your convenience. Thank you for considering my application.
Kind regards,
Wendy Spencer
Skills to mention
Employers hiring a sales representative often look for these. Name the ones you really have, with an example.
Phrases you can borrow
Change the details to your own, then copy them into your letter.
I measure success by the customers who reorder without being chased, and that is where most of my growth has come from.
I treat every first meeting as discovery, asking about the buyer's targets before I mention price.
My pipeline is updated weekly, so my manager never has to guess what will close this quarter.
I am comfortable carrying a quota and I enjoy the pressure of a clear monthly number.
Tips for a sales representative cover letter
- Quote your quota attainment or territory growth as a percentage and a euro figure so the scale is clear.
- Mention the CRM you use and how you keep your pipeline current; managers want reps who forecast reliably.
- Show you understand the employer's customers, not just the product, by referencing a real sales situation.
- List languages if the territory crosses borders; in Benelux roles, Dutch, English and French are a genuine advantage.
- Keep the tone energetic but measured; a cover letter is your first pitch, so make every sentence earn its place.
Mistakes to avoid
- Listing duties such as 'visited clients' without revenue, quota or conversion figures to show results.
- Sending a generic letter that never names the employer's products or target customers.
- Overstating results with unrealistic percentages that an interviewer will quickly question.
